Create a Festival & Popuplate it With Existing Festival Data

Creating a Festival

Start by opening your group's settings and selecting Future Festivals.

 

Click Create in the upper right and fill out your festival's name, dates, etc.

 

Connecting Your Group's Venues

From your Festival's Scheduler, click Venues in the top right and then click Connect Venues in the list that appears.

 

The list will extend and you can select the venues you'd like to connect by ticking boxes or click Add Venue to create a new venue.

 

Importing Event Types

From your Festival Settings, click Event Types under Festival Setup.

Note

The path can be expressed as Festival Settings > Event Types. This path structure will be used more later in the article.

Then click Import in the upper right.

 

This will open a slide-out where you can select event types from other festivals owned by your group.

Tip

Sometimes you'll receive more options once you start filling out info in the slide-out.

 

Importing Events in the Scheduler

Select Scheduler from your sidebar.

 

Enable Editing Mode at the top of the scheduler if it's not already.

Click an empty space in the Scheduler.

Then click import in the upper right of the slide-out that appears.

 

The Important-Looking Text

Note that the scheduler's import feature comes with some handy instructions. These will usually tell you what to import first if you want to include that thing in the current import.

In this case, when importing the scheduler, we should import our Event Types first if we want the imported events to keep the event types they had last time.

Note

If you've followed this guide step-by-step, your event types should already be imported and ready to go.

 

Options Specific to Each Import

When importing various kinds of festival data, you will sometimes be offered to choose how Crescat should treat that specific data, what to change, what to omit, etc.

In the Scheduler, for example, you can select a new name that will be applied to all incoming events. Simply toggle on Override Name, then enter a new name on the right.

 

Importing the Rest

Now you know how to import things from the other festivals owned by your group. Here's a quick map of the things that you may want to import from your other festivals.

 

Performance Info Sections

In your festival, click Settings > Info Sections under Performances.

Then click Create in the upper right and select previously created info sections or make a new one.

 

Contact Types

Your festival's Settings > Contact Types under Performances.

Click Import in the upper right.

 

Company Types

Your festival's Settings > Company Types under Performances.

Place a tick in the boxes for the company types you'd like to use in the current festival.

 

Performance Types

Your festival's Settings > Performance Types under Performances.

Click Import in the upper right.

Accommodations

Your festival's Settings > Accommodations > Accommodations Places/Rooms under Performances.

Click Import in the upper right.

Progress Bar

Your festival's Settings > Progress Bar under Performances.

Click Import in the upper right.

Advance Setup

Your festival's Settings > Setup under Advances.

Remember to turn on the performance info sections you've imported if you'd like them enabled for all advances by default.

Advance Submissions

Your festival's Settings > Submissions under Advances.

Advance Contacts

Your festival's Settings > Contacts under Advances.

Advance Announcements

Your festival's Settings > Announcements under Advances.

Roles

Your festival's Settings > Roles under Members.

Remember to add Performance Info Sections first if you need them.

Users

Your festival's Settings > Users under Members.

Remember to add Roles first if you need them.

Accreditations (Levels & Office)

Your festival's Settings > Accreditations under Festival Setup.

Festival Sections

Note, you may want to import your Accreditation Levels and Scheduler first.

In your festival's Festival Sections page, click Create.

Then click Import in the upper right of the slide-out.

You can edit the resulting festival sections to make sure they are configured according to your needs.

Public Forms

Note, you may want to import your Festival Sections first.

In your festival's Public Forms page, click Create.

Then click Import in the upper right of the slide-out.

You can look through the settings of the resulting Public Forms to make sure that it suits your needs.

Often Overlooked Manual Setup

Reminders

Your festival's Settings > Reminders under Members, then General Settings.

To reduce communication mistakes and delays with volunteers and crew, please remember to add the name of the Email Sender, the Reply-to email address, and SMS sender's name.

Performance Email

Your festival's Settings > Email Configurations under Email.
