Team Leader/Coordinator

Depending on how your organization is structured, one of these roles will be in charge of organizing volunteers and crews into shifts, balancing workloads, and similar tasks.

Get to the Point

  • Shifts are set up in the Shifts tab of the Festival Sections that use them.
  • Assign shifts to crew during shift creation/editing.
  • Volunteers need an open "slot" on a shift to join one.
  • Setting volunteer slots as "For Sale" on a shift will allow volunteers to select the shift themselves.
  • Announcements appear on the Volunteer's "My Page"

Shifts

Shifts are created within the Festival Section where they’ll be used. You can find your Festival Sections in the sidebar of your festival dashboard.

Overview of Assigned vs Needed

In the Sections tab on the Festival Sections page, you'll get a great quick overview of the assigned Crew and assigned Volunteers compared to the Needs for those categories.

 

Each section has a more detailed overview within.

Settings for the Sections

Each festival section can behave slightly differently from the others. Click the Edit button next to the section name to make adjustments.

Here you can set your Crew needs, or connect the Section's shifts to the event they are scheduled for, which also lets you set up shifts from within events.

Each section has a quick settings overview on the Festival Sections page's Sections tab.

Creating a Shift

To create a Shift, open the Shifts tab and click Create in the upper right.

Then fill out the relevant information for that shift.

Assigning Shifts

When helping you find where to assign shifts, we will refer to the Assign button located on the right of each shift in the Shifts tab.

However, you can get to the same place by clicking Assign Responders when editing a shift.

Assigning Crew to Shifts

You can assign Crew by selecting an Assignee during shift creation or editing the shift. Locate the Assigned Crew dropdown menu to assign someone in the list.

You may also assign Crew by clicking Assign on the right of the shift to start.

Assigning Volunteers to Shifts

First, you'll need some open volunteer slots in the created shift. This can be done when creating or editing the shift, or via the Assign button on the right of the shift (shown above).

Volunteers can then be assigned to any open slot from within the Assign Shift slide-out. To get there, use the Assign button in the list of shifts.

 

Setting Volunteer Shifts for Sale

Volunteers can claim Shifts for Sale on the Claim Shifts tab of their My Page.

To set a shift for sale click Assign on the right side of the shift.

Then click the Mark For Sale button for each Responder Slot you want to offer your volunteers.

Announcements

Announcements can be created for the volunteers with a shift in that Festival Section. 

Creating an Announcement

Within a Festival Section, open the Announcements tab and click Create.

Where They Appear

Volunteers will see their announcements on the first page of their My Page.

 

Announcements made to all volunteers (global) are created within a Public Form.
