Maintain an Overview of the Guest List for Your Artists

This article explains the guest list for advancing artists. The guest list has a limited number of seats, which artists can fill out themselves. You will learn the basic functions of the guest list and how to send one out to be filled in. To set up the guest list, try this article.

Locating the Guest List

Click Performances in the sidebar to get started.

 

Then select the desired performance and open the Guest List tab.

 

The Guest List

The Guest List has a seat limit, determined by your festival/group. In this case, the limit is 10 guests. This guest list is configured with a custom field called Allergies.

 

Clicking Make Public will provide you with a link to the guest list that you can copy and paste to others so they can fill it out.

 

Overriding the Defaults

To increase the seat limit or change the predefined accreditation level for this guest list only, click Edit Guest List in the upper right.

 

Editing the Guest List

After clicking Edit Guest List, you'll have a lot of options. Let's run through some of them:

Title

The Title appears on the form that the public will get when you send out the link.

Accreditation Level and Guest Limit

These allow you to override the predefined defaults.

Internal Notes

Neither the public nor the artist will see these notes. For internal use only.

Reset Link

Creates a new link to this guest list, in case a link is leaked or abused. The previous URL will stop working when visited and a new one will be generated.

Make Private

Makes the guest list inaccessible when accessed via the link.

Form Script

This will appear as descriptive text on the form. You can use it to tell people what the form's page is about or any expectations placed on the end user.

Allow deleting on Public Link

If you enable it, then the end user can delete the rows in the guest list. When disabled, it causes the delete buttons to disappear.

Availability

Set When Form Opens lets you set the earliest date that the form will be open to the public. Set When Form Closes lets you set the latest date the form will remain open to the public.

When someone visits the form while it is not open, they will simply receive a message informing them that the guest list is closed. They may be instructed to take contact with the festival admins or their contact person. 

Note

If you visit the form in a web browser that you are logged into Crescat on, you will always be able to view the form regardless of the availability period's rules.
